Managing a chain of 2000+ apartments with just a few staff and Smartos PMS

Challenge

Before coming to Smartos, Gohome used other management tools to send invoices via Zalo and generate periodic reports. Although it met some basic needs, this system lacked essential elements for large-scale management:
  • Scale of 2,200 rooms but only 2 accountants + 1 customer service staff
  • Traditional operation process: CTV manages the building → sends information → accountant issues bill.
  • No resident app for interaction and notifications.
  • Lack of incident and maintenance management, causing delays in processing.
  • Dispersed data, unable to comprehensively track the performance of each building.
This forced the Gohome team to manually handle each invoice, each payment notification, and always be in a "race" mode whenever a contract deadline approached or an issue arose.

Expectation

Managers are interested in features:
  • Room status and invoice management
  • Integrated Zalo OA for automatic sending

Solution

PMS management software: Well supports multi-branch rental apartment chains. Enhanced centralized management helps optimize costs, comprehensive management without increasing staff numbers.

BeSpoke: Customization, adding features closely following the internal processes Gohome is implementing.

Outcome

From April, with persistent care and support. By the end of July, the client tested 1,000 rooms. Although there are some points that need further improvement, thanks to timely listening, support, and especially the close, decisive process in closing the deal, the client has completely trusted and is ready to expand.
